Behind the Scenes: What It's Like to Photograph a Large Conference
Photographing a large conference is an exciting, fast-paced experience. There's a lot that goes into making sure the event is captured perfectly, from the prep beforehand to the on-the-ground hustle during the event. Here’s a glimpse into a day in the life of an event photographer at a big conference.
Gear Prep
The day starts long before I even arrive at the venue. Preparing my gear is a crucial step. I ensure my cameras are charged, memory cards are formatted, and lenses are cleaned. Depending on the event, I pack a range of lenses – a 70-200mm for distant shots, a 28-75 mm for general coverage, and a 18-55 mm for those closer, more intimate moments - or wide group shots. I also bring a couple of flashes and gels to ensure the lighting is the best that it can be. As well as always bringing backup cameras and extra batteries because with large conferences, anything can happen, and being prepared is key.
Arrival and Setup
I usually arrive at the venue at least half an hour early. This gives me time to scope out the space, check the lighting, and plan my approach. Conferences often have multiple rooms or stages, so knowing where the key moments will happen helps me strategize my movement throughout the day.
Capturing Key Moments
Once the event kicks off, it’s all about timing. The keynote speeches, panel discussions, and audience reactions are critical. My goal is to capture the essence of the event – the energy in the room, the focus of the speakers, and the engagement of the attendees.
One of the biggest challenges is navigating a busy crowd without disrupting the flow. I’m constantly on the move, but I make sure to stay out of the way while still getting the best angles. It’s about being unobtrusive yet present.
During the Conference
Some of the best moments at a conference aren’t on the stage. They happen during coffee breaks, networking sessions, or when attendees are deep in conversation. Capturing these candid moments can be tricky. It requires being discreet but always alert. These shots often turn out to be some of the client’s favourites because they capture the genuine interactions that make events special.
Lighting at large venues can be unpredictable. From dimly lit conference rooms to harsh stage lights, it’s my job to adapt quickly. I adjust my camera settings on the fly and sometimes rely on external flash or diffusers to balance out the lighting. This is where experience and knowing my gear inside out come in handy.
The Rewarding Moments
One of the most rewarding aspects of photographing conferences is seeing the event unfold through my lens. I get to witness moments that others might miss – a speaker’s expression of passion, a spontaneous laugh between colleagues, or the concentration on a person’s face during a panel. Capturing these moments and knowing they will be part of the event’s lasting memory is incredibly satisfying.
Wrap-Up
After a full day of shooting, my work isn’t done yet. The post-processing phase is just as important. I carefully sift through hundreds (sometimes thousands) of images, selecting the best ones and editing them to bring out the best in each shot. It’s time-consuming but worth it when the final gallery is delivered to the client.
Photographing large conferences requires a mix of preparation, adaptability, and a keen eye for detail. It’s fast-paced and challenging, but the reward is in delivering a collection of images that tell the full story of the event.
